Sync TeamSnap to Google Calendar or Outlook
Connect a TeamSnap calendar link, add the team name to each game and copy the venue into Location. One team works on Free; several teams need Plus.
Last updated
Take the calendar link from TeamSnap, add it to SYNCDATE as an iCal feed, and send it one way into your Google or Outlook calendar. Two settings make the games easy to read: the team's name in front of each title, and the venue in Location. One team works on the free plan. Following two or more teams needs Plus.
If you follow several teams, add each team's link and send them all into one calendar. "[U10 Hawks] vs Wolves" and "[U12 Lions] Practice" then sit side by side. Once a venue is in Location, your phone can open it in maps.
Get the link from TeamSnap
TeamSnap's own help page for subscribing to a team schedule describes these steps. They work on the TeamSnap website, not in the mobile app:
- Log in to TeamSnap in a web browser.
- Open the team site from your roster name under the team name.
- Go to the Schedule tab and click Settings.
- Click Sync Calendar / Export and copy the calendar link.
Menu names change from time to time. If yours differ, follow TeamSnap's article on subscribing to a team schedule. TeamSnap says the link is updated whenever the team's schedule changes.
Add the link in SYNCDATE
A calendar link like this is called an iCal feed. SYNCDATE can read it, but cannot change it.
- Start a new sync. Open the menu to connect an account and choose iCal.
- Paste the TeamSnap link into Feed URL and press Connect. The Display name (optional) box lets you call it something like "U10 Hawks".
- Pick the feed as the calendar to copy from, and your Google or Outlook calendar as the one to copy into.
Nothing can be written back to TeamSnap, so events only flow one way, from TeamSnap into your calendar, and Mirror is greyed out. That is how feeds work and no plan changes it. Direction: Mirror or Push explains the difference.
How many teams fit on each plan. A feed counts as one connected account. The free plan allows 2 accounts, so one team's feed plus your Google or Outlook calendar fits. A second team's feed is a third account, which needs Plus. See plans and limits for the current numbers.
Put the team in front of each game
The title setting below uses Calendar name, which is the name the feed publishes. TeamSnap's help page does not say what name its feed carries, so open one copied event first. If it shows a generic name, type the team's name yourself instead.
- Open the sync and go to What copies look like.
- On the Title row, pick Custom.
- Type an opening bracket, insert Calendar name, type a closing bracket and a space, then insert Title. Or type "[U10 Hawks] " and then insert Title.
- Check Result with Example event.
A game titled "vs Wolves" in a feed called "U10 Hawks" arrives as "[U10 Hawks] vs Wolves". With several teams in one sync, typed text would be the same for every team, so a label per team needs a rule on Plus. Label synced events by client shows both ways.
Put the venue in Location
TeamSnap does not list what its link carries, so check where the address lands before you use this setting. Open one event in the feed. If the address is in the event's description and its Location is empty, copy the description into Location:
- On the Location row, pick Custom.
- Insert the Description variable.
The copy's location is then the description, as plain text, and maps and calendar apps can open it. If a feed puts the address in Location already, leave this alone: the setting would replace it. Put the venue in the location field has the steps and the 255-character limit. If only some events carry the address in the description, a rule on Plus can use the description only when Location is empty.
Limits
- Feeds are read-only. You can't edit TeamSnap events from your calendar, and a change you make to a copy is not sent back.
- A long description is a poor location. A location holds 255 characters. An event over that limit is not copied and shows under Issues; the others keep syncing.
- What a feed contains is up to TeamSnap. Its help page doesn't list the fields in the link, so check an event in your calendar before you build on the description.
- Updates are not immediate. SYNCDATE reads a feed on a schedule, so a change in TeamSnap shows up after the next read. TeamSnap also says calendar apps that subscribe to the link directly can take up to 24 hours to show a change.
