Share only busy time with a client's calendar domain
Give your company and a client each a group, then add an exception so copies from your people into the client's domain show only Busy.
Last updated
Yes, you can show a client only busy time while your own calendars keep full detail. Make one group for your domain and one for the client's, then add an exception on your group for copies into the client's group and set it to Share availability only. Copies from your people into the client's calendars then say Busy, with no description, location, guests or meeting details. This needs Team sync rules, which every Team owner has on the Team tab in Settings.
This guide assumes you already have Team sync rules. If not, start with Set up Team sync rules for your Team.
Set it up
- In Team sync rules, press Add group. Name it Company and add your domain, for example company.com. Press Add after typing it.
- Press Add group again. Name it Client and add the client's domain, for example client.com.
- On the Company card, press Edit rules.
- Find "Different rules for copies from Company into one group" and press Add exception. Choose "Copies into Client". The sheet changes to "Exception: Company → Client".
- Under Quick settings, pick Share availability only.
- Check the box titled "What members get for this direction". It lists what a copy from Company into Client will carry.
- Press Done, then Review changes, then Apply rules.
What you get
- A copy made from a company.com account into a client.com account shows Busy. The description, location, guests, meeting link and dial-in are left out, and Custom rules are off.
- Copies from company.com into any other calendar keep using the Company rules, or the team default if Company leaves a setting alone.
- Copies from client.com into company.com aren't covered. The reverse direction is set from the Client group, with its own exception.
If you only want to hide guests and meeting details, pick Hide guests and meeting details in step 5. Everything else, such as the title, then stays open.
If the client shouldn't receive anything
Open the exception and turn off the switch "Members can copy from Company into Client". A sync that would make a copy in that direction is blocked, and the member is told to ask a Team admin.
If the client's calendar is connected by link
A calendar connected by link has no address, so it can't be in the Client group. It is always Other accounts. In step 4, choose "Copies into Other accounts" instead. That exception covers every account that is in none of your groups.
Known limitations
- Groups follow the address on each account. They aren't verified. A member who connects a login at another domain is grouped by that address.
- The rule is about where a copy goes, not who reads it. If the client's calendar is shared with other people, they see the copy as the client's calendar shows it.
- Copies that already exist are updated when you apply. How that happens depends on When the rules change, and the status shows Applying until it finishes.
