Set up Team sync rules for your Team
Start Team sync rules, set the team default, add a group for each email domain that needs its own rules, then review, apply and watch it finish.

To set up Team sync rules, open the Team tab in Settings, start Team sync rules, set the team default, add a group for each email domain that needs different rules, then review and apply. Nothing changes for your members until you press Apply rules.
Every Team owner has Team sync rules on the Team tab. Only the Team owner sees it; if you are the owner and it's missing, email support@syncdate.app. For how the pieces fit together, read Team sync rules; the button How Team sync rules work opens the same page beside the screen.
1. Start the rules
- Go to Settings, then Team, and find Team sync rules.
- Press Set up Team sync rules. If you already have rules, skip this step.
2. Set the team default
The team default applies to every member, so start with the rules you want in force almost everywhere.
- On the Team default card, press Edit rules. A sheet titled "Rules for Team default" opens.
- Under Quick settings, pick Share availability only, Hide guests and meeting details or No limits. You can change any row afterwards.
- For any row, choose All options (members choose freely), Some options (tick what members may choose and pick a Default) or One option (the value is fixed).
- Press Done.
If you are unsure, leave the team default open and limit only the groups that need it. Members keep choosing everything else themselves.
3. Add a group for each domain that needs its own rules
- Press Add group.
- Give the group a name, such as Company or a client's name.
- Type a domain, such as company.com, and press Add. If your Team has a saved auto-join domain, you can add it with the suggested button. Add each domain the group should hold: company.com and mail.company.com are separate entries, but can be in the same group.
- On the group's card, press Edit rules. The sheet is titled "Rules for copies from" and the group's name.
- Every row starts at Use team default. Change only the rows that should differ for copies from this group.
- Press Done.
A group's choices replace the team default for copies from its accounts. Everything you leave at Use team default keeps using the team-wide rule.
4. Choose what happens next
Two choices below the group cards apply to everyone on the Team:
- When the rules change: whether copies that already exist and break the rules are rewritten, or paused and removed.
- When someone leaves the Team: whether their restricted syncs keep running, pause with their last allowed settings, or are deleted with their copies.
The starting choices are "Rewrite them to follow the rules" and "Keep their last allowed settings and pause them".
5. Review, apply and watch
- Press Review changes. You see each change in plain words, how many existing syncs it affects, and what will happen to them.
- Press Apply rules, or Keep editing to go back.
- The state shows beside the Team sync rules heading: Applying, then Applied, or Needs attention if some syncs couldn't be finished. Press Refresh status to update it. You can leave the page while it works.
If you see Needs attention, the status box lists each reason and what to do. The full list is on Team sync rules.
6. Check it the way a member sees it
Ask a member to open a sync that your rules affect. The sync form shows "Your Team's sync rules apply to this sync", and choices your Team doesn't allow are turned off with a reason. If a member is confused by a message, send them Why a Team rule limits my sync.
Use your assistant for Team administration
Team admins can use Platform MCP to invite members, manage invitations, promote or remove members, and manage Team settings. They can also read the current sync policy, preview a proposed change and publish it with the current revision. Ask your assistant to show the impact before applying a policy.
These actions use the same admin permissions as the Team page and do not expose members' events. Each Team seat also includes Calendar Hub MCP for that person's own connected calendars. Connect an assistant.
Known limitations
- Groups follow the address on each account and aren't verified. Accounts connected by calendar link are always Other accounts and use the team default.
- Rules apply to copies SYNCDATE makes. They don't reach events another tool copied.
- You never see event contents. The status shows counts and reasons only.
