Events marked Private or Confidential copy as Busy with no details. Every other event copies with its title, description and location.

Works on: Plus.

When this is for you

Your calendar mixes private appointments with ordinary meetings, and the calendar others can see should show the meetings in full.

Before you turn it on

  • Privacy is read from the source event. An event the source does not mark Private or Confidential copies in full.
  • Copies keep the same Privacy as the original. Guests are not copied.

How it works

SYNCDATE copies each event to the calendar others can see. Three rules, one each on Title, Description and Location, look at the event's Privacy: Private or Confidential gives the title Busy and an empty description and location. Every other event copies its title, description and location. The copy keeps the same Privacy as the original.

What you'll pick

  • The calendar with private events (1 calendar; copies come from here): Nothing is written to it.
  • The calendar others can see (1 calendar; copies land here): Where the copies appear.

Setting it up

  1. Pick the calendar with your private events as the source. Nothing is written to it.
  2. Pick the calendar others can see. The copies appear here.
  3. Under "What copies look like", open the "Title", "Description" and "Location" rows. Each is already set to "Custom" with one rule: if "Privacy" is "Private" or "Privacy" is "Confidential", use "Busy" for the title and nothing for the description and location. "Otherwise" is the original value. The "Privacy" row is on "Same as original".
  4. Check it worked: mark one test event Private and leave another unmarked. The private copy should read Busy with no description or location. The other should keep its details.

Variations

You can add these to this sync at any time, without starting over.

Sync everything except all-day events

Add an "All-day events" exclude rule and holidays, birthdays and travel banners stay out of the calendar you sync into. It also catches birthdays from a subscribed calendar, which "Special dates from contacts" cannot — those arrive as ordinary events, so only the all-day rule sees them.

Only invitations you've accepted

Set "Invitations" to "Only yes" and meeting requests you haven't answered stay out of the calendar you sync into until you accept them.

Set this up

Start with this recipe opens the sync screen with this recipe's direction and common settings already filled in. You pick the calendars, and you can change any setting before anything syncs.

The rule is already written. Open the row it names under "What copies look like" to read it or change it before you start the sync.
